Code an Expense Transaction and Upload a Receipt
This guide will walk you through how to code an expense transaction directly from your ledger.
Introduction
With Mazlo, project teams can code expense transactions with a unique accounting code, upload attachments to it, and tag it to a grant. This process ensures accurate tracking and reporting of expenses.
Code an Expense Transaction
Step 1: Open the Transaction
First, open the transaction you want to code.

Step 2: Review the Transaction Details
Review the details of this transaction to gather the required information.

Step 3: Select the Payment Category
Select the whether this transaction is for a Good, Service, a Reimbursement/Other, or it can be left as Uncategorized.

Step 4: Select the Expense Code
Click on 'Accounting Code' to select the correct expense code for this transaction.
If you don't see the correct expense code, contact your point of contact at your Fiscal Sponsor Organization to have it added.


Step 5: Tag this Transaction to a Grant
You can track transactions related to a Grant by selecting it here in the Grants list.

Step 6: Add an Internal Note
Add an internal note for your team and Sponsor to review, this note can help identify the transaction, signal a reminder, or be left blank.

Step 5: Upload Relevant Documents to the Transaction
Click on the upload field to select relevant documents to attach to this transaction.

When the attachment is uploaded, you can click on it to view the document.

Step 6: Mark this Transaction as Complete and Click Save
Finally, review all the details to ensure they are correct, mark the transaction as Complete.

Then click Save.

Step 7: Great! Now this Card Payment is Marked as Complete and Shows in your P&L
When a transaction is marked as complete, you can see the green check in your transactions list. All complete transactions contribute to your live P&L.
